City Hire Cars takes your privacy seriously. Our Privacy Policy outlines the way that we manage your personal information. It is regularly reviewed and updated and all personal information held by City Hire Cars will be governed by our most recent policy, published on this page.Please be aware City Hire Cars may, at any time, review and update our Privacy Policy, please check this page when you use the City Hire Cars site or the City Hire Cars app. We may make changes to this Privacy Policy from time to time. If we make any material changes, we will let you know through the City Hire Cars Platform, by email, or other communication. We encourage you to read this Privacy Policy periodically to stay up-to-date about our privacy practices. As long as you use the City Hire Cars Platform, you are agreeing to this Privacy Policy and any updates we make to it.
 
Scope of our Privacy Policy
This Privacy Policy covers City Hire Cars use of any personal information that City Hire Cars collects when you are on City Hire Cars sites, using City Hire Cars applications and using City Hire Cars services.
 
What do we collect, how do we collect and use it and why?
The personal information City Hire Cars collects and holds is what is reasonably necessary for our business functions and activities, and to enable you to use City Hire Cars applications and services. When you register with City Hire Cars, as a user on the City Hire Cars website or application, when you use certain City Hire Cars services and when you enter promotions or competitions we generally ask for your name, email address and mobile number. We may use this information to send you direct marketing communications and information to keep you updated on our progress or to provide you with promotions in relation to your use of our service. This may be in the form of an SMS or email. You may opt-out of receiving marketing communications from us at any time by contacting us (details below) or by using the opt-out facilities provided (e.g. an unsubscribe link). We will then ensure that your name is removed from our mailing list. We do not provide your personal information to other organisations for the purposes of direct marketing unless expressly authorised by you. Once you register with City Hire Cars and sign in to our services, you are not anonymous to us. We do this to ensure drivers receive genuine and valid booking requests. When you make a booking, City Hire Cars will request your pickup and drop off address locations and these will be stored with your City Hire Cars profile and booking records. We also log your GPS location when you make a booking (if you approve to provide this information via your computer or mobile device during booking), and also when you are picked up and dropped off (via your and the driver’s application) and will store these as part of the booking record and your profile. We use this information to assist in investigating your and your driver’s complaints and enquiries. City Hire Cars will share your name and mobile number with the driver who has been allocated your booking in order to allow the driver to communicate directly with you and increase the chances of a successful pick-up. City Hire Cars also automatically receives and records information on our server logs from your browser including your IP address, City Hire Cars cookie information and the page you requested. City Hire Cars uses this information to ensure that we have optimised our site to perform correctly, to improve ease of use and to gain general information about how our services are being used.

City Hire Cars may set and access City Hire Cars cookies on your computer. Other companies do not have access to City Hire Cars cookies.
 
When may we disclose your personal information
City Hire Cars will not sell or rent your personal information to anyone. City Hire Cars will only share your personal information with other companies or people when: 
we have your consent to share the information; 
we need to share your information in order to provide a product or service you have requested, for example to despatch a vehicle to you or to allow the allocated driver to contact and locate you to ensure a successful pick-up; we need to send the information to companies that work on behalf of, or in conjunction with, City Hire Cars to provide a product or service to you. (Unless we tell you differently, these companies do not have any right to use the personal information we provide to them beyond what is necessary to assist us); 
we may occasionally hire other entities/sub contractors to provide services on our behalf, including but not limited to promotional activities, processing bookings or customer service queries. Those entities will be permitted to obtain only the personal information they need to deliver the service. City Hire Cars takes all reasonable steps to ensure that these entities are bound by confidentiality and privacy obligations in relation to the protection of your personal information. 
you use City Hire Cars through a corporate account, in which case we may share your information with your employer; 
we respond to subpoenas, court orders or legal process or as otherwise permitted by law; or 
we find that your actions on our websites violate City Hire Cars terms of service or any of our usage guidelines for specific products or services.
 
How do we hold your personal information
Personal information we hold is generally stored in our secure databases. These may be operated by us or by our service providers. Where these service providers are cloud-based, such as Google or Amazon Web Services, the information may be located overseas. It is not, however, disclosed to any offshore service providers. In addition, in all cases we have rigorous information security requirements aimed at eliminating risks of unauthorised access to, and loss, misuse or wrongful alteration of, personal information. Your City Hire Cars Account Information is password-protected for your privacy and security. In certain areas City Hire Cars uses industry-standard SSL-encryption to protect data transmissions. City Hire Cars strives to ensure the security, integrity and privacy of personal information of our customers. We use a variety of physical and electronic security measures including restricting physical access to our offices and firewalls and secure databases to keep personal information secure from misuse, loss or unauthorised use or disclosure. Unfortunately, no data transmission over the Internet can be guaranteed to be totally secure. We are committed to protecting the data of the City Hire Cars community. Eventhough we take reasonable precautions to protect your data, no security measures can be 100% secure, and we cannot guarantee the security of your data.
 
Steps you can take to improve security
You as an individual are responsible for the security of and access to your own computer and mobile device. It is recommended you apply a PIN number to your mobile device to prevent access to the device if it’s lost or stolen. If you share a computer with someone else or are using a computer in a public place like a library or internet cafe, do not save your password in the browser. Remember to close your browser when you have finished your user session. This is to ensure that others cannot access your personal information. If your mobile device or computer is stolen you should also notify City Hire Cars so we may block your user account and allow you to change your password.
 
How can you enquire about, access and correct your personal information
You have a right to access and correct personal information we hold about you (except in limited circumstances recognised by law). To request access, please contact our Privacy Officer at the contact points below. Before we provide you with access to your personal information we may require some proof of identity. We may charge a reasonable fee for giving access to your personal information if your request requires substantial effort on our part.
 
How can you complain about our management of personal information
If you wish to complain about your information privacy, you may contact our Privacy Officer at one of the below contact points. We may ask you to put your complaint in writing and to provide details about it. We may discuss your complaint with our personnel and our service providers and others as appropriate. Our Privacy Officer will investigate the matter and attempt to resolve it in a timely way. Our Privacy Officer will inform you in writing about the outcome of the investigation. If our Privacy Officer does not resolve your complaint to your satisfaction and no other complaint resolution procedures are agreed or required by law, our Privacy Officer will inform you that your complaint may be referred to the Privacy Commissioner for further investigation and will provide you with the Commissioner’s contact details.
